New Staff Orientation Information for Supervisors

All new staff members of Vanderbilt University Medical Center (VUMC) are expected to go to Medical Center Orientation on their first day of work at VUMC.

Orientation Updates

Content from both introductory training sessions (You Make a Difference and It's Who We Are) has been combined into a new half-day classroom session. Classroom orientation events will be held from 8 a.m. - 12:30 p.m., with time after to complete compliance items, get ID badges and ask questions about VUPD, VUIT, Health & Wellness and benefits programs.

  • New staff orientation is held on Mondays in Langford Auditorium. Orientation should be Medical center staff's first day of work.
  • Recruiters enroll staff for orientation.
  • New hires must attend immunization screening any Tuesday prior their start date (orientation) at the VU Recreation & Wellness Center, or schedule an appointment with Occupational Health. Details will be provided in orientation confirmation letters.
  • Staff will not be able to attend orientation or begin work without completing their immunization screening or background check. See frequently asked questions about this requirement below.
  • Benefits information should be reviewed online before new hires start work. Links are included in offer and welcome letters, and orientation confirmation messages.
  • New hires will complete personalized compliance items in the Learning Exchange.
  • VUnetIDs can be claimed online by new hires 48 hours after PAFs are processed - no need to wait for an invitation.
  • Parking permits can be ordered online prior to orientation.

Rehire employees returning to Vanderbilt are required to re-complete new hire orientations. If you have a question or concern regarding a rehire please contact the OET team

Dates and Locations

Medical Center orientation is offered on Mondays from 8 a.m. - 12:30 p.m., with time after to complete compliance items, get ID badges and ask questions about VUPD, VUIT, Health & Wellness and benefits programs. Orientation check-in begins at 7:30 a.m., and the program starts promptly at 8:00 a.m.  If your new employee is going to be later than 8:30 a.m., please contact the Learning Operations team to reschedule as registration closes after 8:30 a.m.

Natchez Trace (N) Lot Parking Instructions: 

Free parking for orientation is available in the N Lot 73A. Enter from Natchez Trace via West End Ave. or Blakemore Ave. or from Vanderbilt Place. See this parking map. Park in lot 73A on the corner of Vanderbilt Place and 31st Ave., near the red star on the map. See the lot entrances marked by the blue X's on the map. Please allow at least 15 minutes travel time between locations. There is a shuttle bus stop by lot 73A. Look for a bus stop shelter. There is a stop by the blue bus icon on the map. If you choose to shuttle, ride the BLUE  shuttle to MCN (Medical Center North).

Orientation Location Directions:

– Exit the parking lot via Natchez Trace or Vanderbilt Place. Head towards Jess Neely Dr. by the football stadium. Turn left on 24th Ave. Cross the street at Garland Ave. and turn right. Walk down Garland until in ends in front of Medical Center North and Eskind Biomedical Library. Turn right in front of the library. Orientation is in Langford Auditorium, next door on the right.

Shuttle – Take the BLUE shuttle from the N Lot 73A. Exit at Medical Center North by the Eskind Biomedical Library.
Langford Auditorium is next door past the red sculpture.

Taxi/Drop off address – 2209 Garland Ave. Nashville, TN 37232

MTA – Hillsboro 7 Bus get off at Medical Center Drive, walk up the sidewalk next to the hospital by the on the map.

Information to Provide Before New Hire's First Day

  • Parking information for orientation
  • ID Card Authorization Form: New Medical Center staff will need an ID Card Authorization Form completed and signed by the supervisor in order to obtain their ID card. The form is available on the Card Services website.
  • Contact information: All new staff members should know their department’s name, their supervisor’s name and their supervisor’s or another contact person’s phone number. It is also helpful for them to know if they will be working for the University or for the Medical Center.
  • Lunch invitation/options: Meeting your new hire for lunch or providing lunch option information is a way to make their first day special.
  • Schedule for first week: You can ease your new hire’s anxiety and facilitate their integration into Vanderbilt by providing a schedule for their first week, including directions to different locations.

Attire for Orientation

Business casual attire or work clothes/uniform are recommended for this program. We ask that you make sure staff are aware that orientation is paid time and therefore new staff should dress for a day at work. Discuss any other instructions with your new hire.
