Paychecks Overview

This section provides information on pay dates, different methods of payment, paycheck/advice distribution and calculation.

Procedures

Pay dates occur in accordance with the dates outlined on the Payroll Calendar. Payroll disbursements to employees may be made in one of two methods:

  • A direct deposit to the employee's financial institution
  • A direct deposit to the VUMC Paycard
  • A "live" paycheck

The actual deposits will occur on the designated pay date. Some banks may credit accounts for direct deposits on the evening before a pay date, however VUMC is only responsible for check deposits on the pay date.

Staff paid by Direct Deposit are encouraged to use C2HR to review their current pay information such as earnings, taxes, deductions, bank accounts and the "net" amount that has been deposited. Direct deposit is set up using C2HR.

"Live" paychecks may be cashed or deposited up to 60 days from the pay date as shown on the check. After 60 days, the checks become "stale" and a replacement check must be issued. See Lost/Stale Check Procedures for additional information.

Payroll Options

Beginning May 1, 2018, we will move away from paper paychecks and move everyone to one of the options below:

Direct deposit

You can have your paycheck directly deposited into your checking or savings account. Direct deposit is set up using C2HR. If you need access to a computer to set up direct deposit, stop by the Employee Service Center at 2525 West End Avenue, Monday-Friday, from 7:30 a.m.-5:30 p.m., to use one of our free computers.

Once you complete the C2HR form, HR Processing and your bank need 4-6 weeks to process your request. Then your paycheck will be deposited directly into your designated bank account.

Credit Union

If you have never been able to establish a banking relationship, the Vanderbilt University Credit Union has agreed to offer the EZ Checking Account to VUMC employees free of charge. This account requires a payroll direct deposit, provides you an ATM card (not a debit card), allows you to make cash withdraws and get free money orders. No minimum balance is required.

Free ATMs with no service fees on campus, such as Medical Center North and the Vanderbilt Clinic, and off campus, such as One Hundred Oaks and Crystal Terrace, and at 28,000 locations nationwide (just look for the Co-Op network sign).

VUMC Paycard

We have also teamed with First Tennessee Bank to offer a safe, convenient alternative to receiving a payroll check via a preloaded debit card. Your “take-home” pay is automatically deposited to your PIN-protected Paycard every payday. This is a great alternative for you if you can’t or don’t want to have your paycheck direct-deposited into a checking account. While similar to a debit card, this card is not linked to a personal bank account.

Your VUMC Paycard is free with no cost if you use a First Tennessee approved locations. There are no monthly charges and you are charged a usage fee ($1.50) only if you use a non-First Tennessee Bank ATM. A First Tennessee ATM is conveniently located in the Monroe Carell Jr. Children’s Hospital at Vanderbilt, and many other locations near campus and throughout Nashville (including all Nashville-area Exxon Tigermarkets).
